We kindly ask you to read carefully through these instructions. Here you will find all the information you need in order to apply for the 2009 ICM in Sinaia.
Please fill in the form only after you have the permission of your National Board to participate in the delegation of your or any other National Group.
According to the amended article 5.5 of the Statutes and Standing Orders every ELSA National group, be it Member or Observer, has the right to send 9 delegates to the International Council Meeting of ELSA (ICM). Usually 7 positions are used for the 7 members of the National Board (NB) and the other 2 are distributed to other members.
You will be applying to your National Group’s delegation no matter the number of applicants it already has. After the registration closes the Organizing Committee will consult with the IB, you and your HoD and place you in a delegation with free slots if this is possible. Even you will participate on a free slot from another delegation you will pay the ICM fees as set for your NG.
Do not apply twice! Upon registration you will receive an email on the address you indicated. This email contains the login details (user-email/password) in order to manage your application and a link that you have to click in order to confirm the email address.
Each NB selects one person as the Head of Delegation (HoD), who is responsible for attendance to workshops by all participants, for waking them up in the morning, for making the payments and so on. Of course, each participant has his or her own responsibility as well!
You will be able manage your own application details until you are approved by your HoD after consultation with his NB. At this point you will receive an email from the website confirming that you are allowed to participate at the ICM as a delegate of that NG. From there on in it becomes the HoD’s responsability and privilege. He will look after the applications from his NG and make sure they are complete and correct. The HoD is also responsible for payment of the fees and will be the one receiving the invoice for his whole NG’s delegation once the online registration process is finished and payment is made.
Always remember that you can edit your application information yourself by logging in with the email and password provided in the confirmation email and that after you are an approved delegate only your HoD can change this info so you’ll have to talk to him.
Once approved you will be able to see the total fee you have to pay and your HoD will see this information for all the participants from his NG. If this information is not changed by the HoD then the OC will invoice that sum of money.
After the registration closes (deadline is passed) every approved member has the obligation to pay their respective fees. Refunds for made payments or absolution of payment will not be offered unless the person presents a signed and stamped medical certificate proving he or she is ill and cannot participate. On October 4th invoices will be sent to HoDs and to individuals like ELS members, externals etc. which are to be payed at latest on October 9th.
HoDs will be informed of participants, not from their NG, that will be on their delegation after the redistribution of free slots.
You have the possibility for a longer stay in Romania than the ICM period (25.10.2009 – 01.11.2009), namely to arrive in any of 3 days before and/or after the event.
